Privacy Statement

During the course of our work, we are required to collect and process personal information. We are committed to ensuring that personal data collected and processed is treated lawfully and correctly and complies with data protection law, including the General Data Protection Regulation and the Data Protection Act, 2018.

Your Data: what we collect.

We would like to reassure you that it is your choice if you wish to disclose information regarding the reason for your initial call to Ruhama.

What information you may wish to disclose during the call if you would like to access Ruhama’s services include:

  • Personal details such as your first name and location in Ireland.
  • Contact details so your assigned Caseworker can contact you to set up an appointment.
  • Your health details should you wish to disclose these in the context of sexual exploitation for example, if you are pregnant or have a disability or other health concern.
  • Your experiences of the sexual exploitation, prostitution, or human trafficking.
  • Any risks that you may be experiencing.
  • Information about anyone else supporting you.

Ruhama does not record phone calls. For the purposes of creating an incoming referral to our services, we will need to store your name, location in Ireland and contact details. If you decide you do not want to avail of Ruhama’s services, information collected at this stage will be deleted in accordance with Ruhama’s Retention Schedule.

If you decide to avail of Ruhama’s support services, a Caseworker will review the Service User Confidentiality Policy (hyperlink?) with you during your Initial Assessment appointment prior to collecting any further personal data relating to you.

If you avail of Ruhama’s support services, we will collect and store information about you including: 

  • Personal details about you e.g. name, age, address.
  • Safe ways to contact you.
  • Details about what is happening or has happened to you.
  • Any risks that you may be experiencing.
  • Information about anyone else supporting you.

This information will be stored while you engage with Ruhama’s services. Once you have exited the service, it will be held in accordance with Ruhama’s Retention Schedule.

If you engage with Ruhama Caseworkers in an outreach setting, we do not record or retain any personal identifiable information. However, we do log information for the purpose of collecting statistical information, for example, gender, accommodation, type of sexual exploitation you have experienced.

Legal Basis for Processing Your Data

Ruhama processes your personal data under one or more of the following legal grounds:

  • Your consent.
  • Conduct task in the public interest.
  • Protection the vital interests of an individual.
  • For Ruhama’s legitimate interests.
  • For compliance under various legal obligations e.g. Children’s First Act, 2015.

Your Consent

When availing of our support services, we will rely on your consent to the collection and processing of your personal data. If you do not wish to provide your consent, you may not be able to access Ruhama’s services.

The information you share with us about you and your situation will be treated as confidential by Ruhama. This means that only Ruhama staff will have access to this information unless you say otherwise. You can withdraw your consent at any time.

Sometimes during our support work with you, you may request us to speak/ we may suggest that we speak to other agencies outside of Ruhama on your behalf (for example the International Protection Accommodation Service, An Garda Síochána, Local Housing Authority, the Department of Social Protection). You do not have to give your permission; you can say no. This may limit Ruhama’s ability to fully support you.

Sometimes we are legally required to share information to keep you safe. We do not need your permission to do this, but we will always try to discuss this with you as soon as we can, unless it risks safety to do this. The agencies that we usually share information with, in these cases are An Garda Síochána, Tusla, or other emergency services.

Retention of Data

We will not hold your personal data for longer than is necessary. We retain your personal data for as long as we need it for the purposes described in the Retention Schedule, or to comply with our obligations under applicable law and Revenue purposes.
